Operations Assistant

About the role

The Operations Assistant supports the Operations Supervisor in ensuring that all shipment processing activities are performed efficiently, accurately, and in line with Global Standard Operating Procedures. This role is critical for maintaining high‑quality data, timely shipment handling, and compliance with security and customs requirements.

Key responsibilities

• Process shipments to meet transit time targets while capturing all critical checkpoints according to GSOP standards.
• Inspect shipment condition, paperwork quality, and packaging; ensure AWB imaging and upload.
• Verify that all items on the Process Dashboard are manifested, re‑weighed, and prepared to “perfect shipment” standards.
• Capture insurance, special services, and appropriate service‑alert labels in the system.
• Place shipments flagged as ICS.2 or denied parties on hold until release.
• Re‑weigh shipments, record dimensions, and attach printed PID labels to each piece.
• Update DCVS with shipment and piece information (PID).
• Sort outbound material into designated areas, meet cut‑off times, and bag/seal international shipments using DHL systems.
• Segregate high‑value and special‑certificate shipments, applying the correct ST intercept checkpoint.
• Assist with debrief processes, cash reconciliation, and banking tasks as required.
• Conduct security checks on suspicious shipments and alert the supervisor for further inspection.
• Liaise with commercial, customer service, IT, and third‑party partners to resolve operational issues promptly.

• Must ensure quality is integrated into daily operations.
• Ability to work accurately under time‑critical conditions.
