Medical Administrative Officer

About the role

The Medical Administrative Officer will coordinate the surgical patient pathway from scheduling through admission and treatment, manage health records, and support data reporting and quality assurance. This role ensures patients receive timely, patient‑centred care while maintaining compliance with hospital standards and accreditation requirements.

Key responsibilities

• Maintain an up‑to‑date register of patients awaiting surgical or planned procedures and track their status through recommendation, treatment, or postponement.
• Identify and help patients overcome barriers to admission and provide clear information on hospital policies and procedures.
• Manage creation, storage, retrieval, retention, and disposal of patient health records in line with organizational policies and legal requirements.
• Ensure records are complete, accurate, standardized, and use unique patient identifiers.
• Support patient follow‑ups, monitor attendance rates, and facilitate smooth admission processes through proactive communication.
• Handle data management, reporting, and contribute to quality assurance and compliance activities.
• Collaborate with clinical and administrative teams to develop and improve health information systems.

Required profile

• Mid‑level experience in medical administration, health records management, or related healthcare support functions.
• Strong organizational skills with the ability to manage multiple patient pathways simultaneously.
• Excellent communication skills for interacting with patients, guardians, and multidisciplinary teams.
• Commitment to maintaining confidentiality and adhering to information governance standards.
