Associate Warehouse Officer

About the role

The Associate Warehouse Officer will support EGPAF Malawi’s warehouse operations, ensuring accurate receipt, safe storage, and timely distribution of HIV program commodities across multiple health facilities.

Key responsibilities

• Manage all receipts and distribution of stock in the warehouse.
• Process inventory requests and validate receipt of goods against requirements.
• Record all goods received using standard templates and store them according to safety, security, and accountability procedures.
• Maintain filing system for all store transaction paperwork.
• Update the Warehouse Management System and Stock Monitoring Sheet with daily stock movements.
• Facilitate quarterly stock reconciliation and conduct mid‑year and annual stock‑taking.
• Produce monthly warehouse reports in line with standard operating procedures.
• Ensure proper documentation (requisition forms, delivery notes, goods receipt notes, packing lists) for all transactions.

Required profile

• Ability to process inventory requests and validate receipts as described.
• Capability to maintain accurate filing and electronic records of stock movements.
• Attention to detail for physical verification of received and dispatched items.

Required skills

• Warehouse Management System (WMS) proficiency.
• Use of electronic stock monitoring tools (e.g., Stock Monitoring Sheet).
