Executive Associate to UNICEF Malawi Representative (G-6)

About the role

The Executive Associate supports the UNICEF Malawi Representative by ensuring smooth office operations, effective stakeholder engagement, and high‑level administrative assistance. This fixed‑term position is based in Lilongwe and plays a pivotal role in translating leadership priorities into coordinated actions.

Key responsibilities

• Provide comprehensive administrative support to the Representative’s Office, including calendar management, correspondence handling, and meeting coordination.
• Maintain and monitor the office budget, assist with procurement processes, and ensure compliance with UNICEF financial policies.
• Facilitate stakeholder relations by representing the office in communications and managing sensitive information.
• Coordinate project resources, track progress, and generate reports to keep initiatives on schedule.
• Utilise UNICEF digital systems and AI‑enabled tools to streamline workflows and produce actionable insights.

Required profile

• Secondary education in business administration, public administration, finance, communications, information systems or related fields.
• Minimum six years of relevant experience in administration, executive support, office management or operations.
• Demonstrated ability to work in a matrixed environment and support senior leadership.

Required skills

• Proficiency in using office productivity software and digital collaboration platforms.
• Strong organizational and project‑management capabilities.
• Ability to handle confidential information with discretion.
