District Administration Assistant

About the role

The District Administration Assistant provides essential administrative and procurement support to the Pact Programs team, helping to roll out the ACHIEVE programs across districts. The role ensures smooth office operations, accurate documentation, and efficient coordination of logistics, travel, and conference arrangements.

Key responsibilities

• Support procurement processes by documenting receipt of goods/services, maintaining procurement files, and following up with suppliers for tax and other required documentation.
• Maintain registers of preferred vendors for each province and manage the asset/inventory register for the Malawi office and sub‑districts.
• Arrange and oversee maintenance of office equipment and ensure staff have access to necessary administrative forms.
• Assist the supervisor in preparing accurate supporting documents for financial transactions and ensure timely submission to finance.
• Handle front‑desk duties, including meeting coordination, minute‑taking, scheduling, and maintaining both paper and electronic filing systems.
• Provide logistical support for ACHIEVE program transportation needs.

Required profile

• Strong attention to detail and ability to keep records up‑to‑date.
• Organised and capable of handling multiple administrative tasks simultaneously.
• Good communication skills for interacting with suppliers, staff, and external partners.
• Basic understanding of procurement and finance documentation processes.
