Business Administration Manager

About the role

World Vision Malawi is looking for a Business Administration Manager to provide leadership for administration and fleet operations. The role supports the national office in delivering programmes that improve the lives of vulnerable children across the country.

Key responsibilities

• Lead administration and fleet management functions, providing advisory support to the national office.
• Identify support service gaps across all areas and assess team capacity to ensure value for the Ministry.
• Contribute to policy development, standards and procedures for procurement, administration, fleet, safety and security.
• Develop and implement fleet procurement and replacement plans, enforce standardized fleet procedures and manage lifecycle, insurance and contracts.
• Analyze fleet data, produce reports and recommend vehicle disposal or replacement in line with policy.
• Oversee general office administration, including space management, equipment acquisition, furniture distribution and supplies.
• Set and monitor facilities standards, maintenance schedules and service agreements.
• Manage inventory of office supplies, monitor costs and assist in budget preparation for the administration function.
• Organise facilities services, maintenance activities and office events such as renovations and recycling initiatives.
• Identify and resolve system, structural or procedural bottlenecks affecting business operations.

Required profile

• Proven leadership experience in administration, fleet or facilities management.
• Strong advisory and policy‑development skills.
• Ability to assess team capacity and identify service gaps.
• Experience in procurement planning and fleet lifecycle management.
• Solid understanding of office operations, budgeting and facilities maintenance.
• Analytical mindset for data‑driven decision making.
